Building work has the most awkward invoicing of any trade. The job runs for weeks, it gets invoiced in stages, the VAT treatment depends on who the customer is, and if you are subcontracting there is a CIS deduction on top that must come off labour and not off materials.
Quill is built to get those figures right without a spreadsheet, and to keep the paperwork trail from the original quote to the final payment in one place.
What builders use Quill for
CIS deducted from labour only
Set your rate at 20% or 30% and Quill applies it to the labour element while leaving materials, plant hire and fuel out of the calculation, as HMRC requires.
Domestic reverse charge
For construction services between VAT-registered businesses reported under CIS, the customer accounts for the VAT. Quill marks the invoice accordingly rather than charging VAT you should not be charging.
Quote, sign, then invoice in stages
Send a detailed estimate, capture the customer's signature on screen, and invoice against it as the work progresses so there is no argument about what was agreed.
Variations recorded properly
Extras get added as their own lines with their own dates, so when the final bill lands the customer can see exactly what changed and when.
Credit notes, not edited invoices
If something needs reducing after it has gone out, issue a proper credit note. Quietly editing a sent invoice is what creates disputes.
Site photos on the record
Attach photographs of ground conditions or existing damage to the job so the evidence sits with the paperwork it relates to.
Jobs builders invoice with Quill
Quill ships with a builder preset, so your common jobs are one tap rather than typed out every time. You can edit the list and save your own.
- Extensions and loft conversions
- Groundworks and foundations
- Structural alterations
- Refurbishments and fit-outs
- Roofing and rendering
- Staged payments against a signed quote
- Variations and extras
- Subcontract labour under CIS
Everything in every plan
Works with no signal
Quill is a progressive web app with a full offline mode. Write an invoice in a loft, a basement or a plant room with no bars, and it queues locally and syncs the moment you get signal back.
Autosave and crash recovery
Every meaningful edit is saved locally as you type. If your phone dies or the browser reloads mid-job, Quill offers your draft back rather than losing it.
Voice and photo to invoice
Describe the job as a voice note, or photograph a handwritten job sheet, and Quill drafts the invoice from it. Correct it once and it learns the pattern.
Branded PDF invoices
Pick a template or design your own in the visual builder. Your logo, your colours, your scheme numbers and your bank details on every document.
Get paid by card
Attach a Stripe payment link so the customer can pay from the invoice on their phone, rather than waiting for a bank transfer you have to chase.
VAT and CIS handled
Set your VAT rate, flag domestic reverse charge work, and let Quill calculate CIS deductions on labour only. The figures come out right without a spreadsheet.
Estimates that become invoices
Send a branded estimate, capture the customer's signature on screen, then convert the accepted estimate into an invoice without retyping a line.
Payment matching from your bank
Connect your bank through open banking or import a CSV, and Quill matches incoming payments to open invoices so you can see who has actually paid.
Pricing
Every feature is in both plans. The only difference is how often you pay.
14-day free trial on both. No card required to start.
Questions
Does Quill handle the VAT domestic reverse charge?
Yes. You can flag an invoice as reverse charge, which shows the VAT that would have applied without adding it to the total, so the customer accounts for it themselves.
Will it deduct CIS from materials by mistake?
No. CIS is applied to the labour element only. Materials, plant hire and fuel are excluded from the deduction, which is how the scheme works.
Can I invoice a job in stages?
Yes. You can raise as many invoices as you need against the same customer and job, and see the total position across them.
Can customers sign a quote on my phone?
Yes. Estimates support an on-screen signature, and a signed estimate can be converted into an invoice without retyping the lines.
